Q&A’s

Q1: My dental office was burglarized recently and the thieves stole two computers that contained patient records. I contacted my attorney who said that both state and HIPAA laws required that I notify the patients whose records were compromised. This was a tremendous burden on me and my staff and cost me a lot of money. If I use your system, what protections are in place to prevent this from happening again?

Answer: OSD is protected by Rackspace, a recognized leader in managed hosting. All patient data are stored on their servers which reside in a secure facility under 24 hour surveillance. In case of power failure, backup generators are in place. In addition, OSD is protected by 128 bit encription, the same as most financial institutions use. You would be hard-pressed to find a more secure method of storing your data.

Q2: Can I store radiographs, consent forms, photos and other documents in the patient's record?

Answer: Yes. OSD allows your practice to become “paperless”, by scanning and uploading digital images and documents into your patient’s file.

Q3. Is OSD HIPAA compliant?

Answer: Yes. All data is 128 bit encripted. User access is password restricted. Passwords for your users are set by your staff administrator, and can be changed at any time.

Q4. Can I file e-claims using OSD?

Answer: Yes. Partnering with Renaissance Systems and Services (RSS), a trusted name in electronic dental claims, OSD offers unlimited e-claims for only $29.95 per month.

Q5. How does the cost of OSD compare with other systems?

Answer: Congress wants most Americans to have electronic health records by 2014. Cost estimates for implementing an electronic record keeping system vary from $10,000 to $60,000 per office. OSD provides this service for a fraction of the cost.

Q6. Can I grant my patients access to their records?

Answer: Yes. OSD allows you to grant limited patient access to their treatment plans, their scheduled appointment times, charting and selected notes. Your patients and your staff can even exchange memos within the system. This ability can be revoked by your staff administrator at any time.

Q7. If I provide dentistry in hospitals, nursing homes or other facilities, can I grant access to a DON, Social Worker or other authorized person at the facility?

Answer: Yes. You may grant limited access to an authority at each facility. The authorized person is only able to view records of the patients within their facility. Memos can be exchanged between your staff and the authorized person.

Q8. After joining OSD, do I pay extra for updates and enhancements to the system?

Answer: No. Updates and enhancements are added periodically at no additional cost.

Q9. Can I go wireless with OSD?

Answer: Absolutely! Using OSD with your laptop and Wi-Fi or a Mobile Broadband Card puts your entire practice at your fingertips, wherever you are.

Q10. Is my practice information safe?

Answer: Yes. All practice information is backed up daily from our servers at Rackspace, a recognized leader in managed hosting. There is no extra charge for this service.

Q11. If I refer a patient to a specialist for treatment, can I grant him access to that patient's records in the system?

Answer: Yes, you may grant limited access to a referred practitioner. He may see selected notes, x-rays, treatment history, charting and treatment plans. He can even add notes to the patient’s record and send your staff memos.

Q12. Can you convert the practice data from my current operating system into OSD?

Answer: Yes. We have successfully accomplished data conversions from several commonly used dental management programs. The cost of the conversion depends on the size of the database, and the number of fields converted. Please contact us for a price quote.

Q13. What is the cost for support and training?

Answer: OSD members recieve free e-mail support and have access to the “Help Desk” area on our website. Also there are “Help” and “FAQ” areas within the OSD application itself. Telephone support is available at $95/hour during normal business hours.

Q14. What makes OnSiteDentistry (OSD) different from other dental management systems?

Answer: OSD is internet based. All information is stored securely on our servers, and is backed up daily. This eliminates the need for you to purchase expensive servers, and allows you and your staff to access your practice information from anywhere an internet connection is available.
